Privacy Policy

Last updated October 26, 2026

This Privacy Policy explains what information PrepForecast (“we”, “us”) collects when you visit prepforecast.com, book a demo, or use our web app and emails (the “Service”), how we use it, and the choices you have. The Service is built for businesses and is intended for use in the United States.

Information we collect

Information you give us

  • Account information: your email address and password (stored securely by our authentication provider – we never see your password in plain text).
  • Store information: store names, zip code or city, time zone, settings, prep items and PARs.
  • Business data: daily sales figures, leftover counts, events and closures, and UPK reports that you upload, type in, or link from a spreadsheet.
  • Demo requests and contact: your name, email, phone number, company, number of stores, state, your message, and whether you agreed to calls and texts.
  • Email recipients: addresses you add to receive the daily prep sheet (for example a manager or printer email).

Information from connected services

  • Point of sale: if you connect a point-of-sale system (when available), we receive read-only sales information needed to calculate daily totals. We store the access token on our servers only.
  • Google Sheets: if you link a sheet, we read the data in the sheet you shared.
  • Payments: Stripe processes payments and gives us your subscription status, customer ID and billing details such as card brand and last four digits. We never receive or store full card numbers.

Information collected automatically

  • Technical data: IP address, browser type, pages requested and timestamps, used for security, rate limiting and troubleshooting.
  • Cookies: we use essential cookies to keep you signed in and to protect forms from bots. We do not use advertising cookies on the app.

How we use information

  • To provide the Service: build forecasts and prep plans, send your daily prep sheet, and show savings and reports.
  • To manage accounts, subscriptions, billing and support.
  • To respond to demo requests and, where you agreed, to call or text you about your demo and the Service.
  • To send service messages and, with an unsubscribe option, information about PrepForecast.
  • To keep the Service secure, prevent fraud and abuse, and fix problems.
  • To improve the Service, including using de-identified, aggregated data that does not identify you or your business.
  • To comply with the law and enforce our Terms of Service.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only:

  • With service providers who run parts of the Service for us under contract, such as hosting and security (Cloudflare), database and authentication (Supabase), payments (Stripe), email delivery (Resend), weather data (Open-Meteo – we send only a store’s approximate location), and AI tools used to help draft our own sales emails (Anthropic).
  • With services you connect, such as Google Sheets or a point-of-sale system, as needed to make the connection work.
  • For legal reasons, if required by law or to protect the rights, safety and security of our users, the public or PrepForecast.
  • In a business transfer, such as a merger, acquisition or sale of assets, subject to this Policy.

Text messaging: phone numbers and text-messaging consent are never shared with or sold to third parties for their marketing purposes.

Calls, texts and email

  • We call or text you only if you gave consent (for example on our demo form). Consent is not a condition of purchase.
  • Reply STOP to any text message to opt out. Message and data rates may apply.
  • Every marketing email includes an unsubscribe link. You will still receive essential service emails while you have an account.

How long we keep information

We keep account and business data while your account is open. After an account is closed, we delete or de-identify it within a reasonable time, unless we need to keep it to meet legal, tax or accounting requirements or resolve disputes. Backups are kept for up to about 12 weeks and then deleted. Demo and contact information is kept until you ask us to delete it or it is no longer needed.

Security

We protect information with encryption in transit (HTTPS), access controls that keep each account’s data separate, limited staff access, rate limiting and bot protection, and regular backups. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a breach that affects your personal information, we will notify you as required by law.

Your choices and rights

  • You can view and update your store information in the app at any time.
  • You can ask us to give you a copy of your data, correct it, or delete your account and data by emailing admin@prepforecast.com.
  • Depending on where you live, you may have additional rights under state privacy laws. We will honor requests as required by applicable law and will not discriminate against you for making one. We may need to verify your identity first.

Children

The Service is for businesses and is not directed to children under 13. We do not knowingly collect information from children.

Changes to this Policy

We may update this Policy from time to time. If we make significant changes, we will let you know by email or in the app. The “Last updated” date at the top shows when it last changed.
